How to use SaleSmartly email service

I. Channel Introduction

SaleSmartly email service allows you to create email addresses using your own domain. After completing domain verification, you can create email accounts, assign members, and handle email messages centrally within SaleSmartly, without needing to maintain email authorization codes or mail servers yourself.

Before starting, please confirm the following:

1. You have a usable domain name or subdomain, such as `example.com` or `mail.example.com`.
2. You can log in to the DNS management backend for this domain and add or modify DNS records.
3. You have permission to configure the connection in SaleSmartly.

II. Operating Procedures

1. Select SaleSmartly email service

In the SaleSmartly email connection, select 【SaleSmartly Email Service】.

2. Add the first domain name

Click to go to Configuration/Domain Management - Add Domain, enter a valid domain name/subdomain, press Enter to confirm or click Refresh Records to obtain DNS information;

After adding the domain, it will be displayed as "Verifying". You cannot create an email address using this domain until all DNS records are effective.

 

3. Access the domain management backend.

  1. Log in to your domain service provider or DNS hosting platform and open the "DNS Resolution" or "Domain Resolution" page for the newly added domain.
  2. Add the records one by one according to the DNS records obtained from SaleSmartly;
  3. Use the copy button next to each record to copy the [Host Record] and the [Value to be Configured];
  4. It requires adding four records;
  5. Save the DNS configuration.

Different domain name service providers use different syntaxes for root domains, which may be displayed as `@`, left blank, or the complete domain name. Please follow your service provider's instructions.

4. Refresh and complete domain verification.

After DNS records are saved, you need to wait for the resolution to take effect. This usually takes 10 to 30 minutes, but the actual time depends on your domain registrar and DNS cache.

  1. Return to SaleSmartly's Domain Management section;
  2. Expand the corresponding domain name;
  3. Click on [Verify DNS];
  4. Check the verification status of each DNS record.

Please ensure that the domain's DNS records are configured as required; otherwise, the verification will not take effect.

When the domain status changes to "Verified", it means that the domain's DNS verification has been completed, and you can start creating email addresses with that domain suffix.

At the same time, the system will send a notification that the domain name verification has passed.

5. Enable email and assign members.

  1. After creation, go to [Connections - Email] to view your new email address:
  2. Confirm that the email address appears in the list and is identified as 【SaleSmartly Email Service】;
  3. Based on the social media accounts assigned to team members, if all email accounts are selected, subsequent email accounts will be automatically assigned permissions to that member.
  4. The email account management for 【SaleSmartly Email Service】 is the same as for 【Integrating Existing Email Accounts】;

1. Why has the domain name status changed to "Expired"?

This scenario most likely indicates that the DNS resolution records configured for the domain have changed, and you need to check the configuration information in the domain's backend.

2. How to delete a domain name

When a domain name is in the status of "Verifying" or "Expired", it can be deleted.

If an email address has already been created for the domain, the associated email address will also be deleted when the domain is deleted.
